1. Scope
This policy applies to the public Dealer Title Tracker website, demonstration requests, authenticated Dealer Title Tracker accounts, and related support and account communications provided by Illinois Title Services. A customer agreement may contain additional data-handling terms.
2. Information we collect
Account and authentication information
For authorized users, we process account identifiers, business email, name when provided, authentication information managed by our authentication provider, dealership and store assignments, roles, invitations, and account activity needed to provide secure access.
Dealership service data
Customers and authorized users may enter or upload vehicle, acquisition, disposition, purchaser, lienholder, payoff, document, shipment, title, note, reporting, and related dealership workflow information. Customers control what service data their authorized users submit, subject to the service agreement.
Demo-request information
We collect the contact, dealership, volume, state, current-process, challenge, consent, and comment information submitted through the Request a Demo form. Phone number and marketing consent are optional.
Website measurements
The public site records first-party events such as page views, demo-form activity, Customer Login clicks, brochure downloads, video activity, and campaign source. These events use a random session identifier stored for the browser session and do not use advertising pixels. We do not intentionally place customer record data in marketing analytics.
3. Why we use information
- Provide, secure, support, and administer the service.
- Authenticate users and apply role, store, and organization permissions.
- Respond to demonstration, pricing, support, and account requests.
- Operate title-workflow, reporting, document, shipment, and reviewed state-specific functions.
- Detect abuse, troubleshoot errors, preserve audit history where enabled, and protect the service.
- Measure public-site performance and improve the product and marketing experience.
- Send product marketing only where the recipient has consented or another lawful business basis applies, with an opt-out method.
4. Cookies and similar storage
Authenticated application services may use browser storage required to maintain a secure session. The public marketing site uses session storage for a random first-party analytics session identifier. No advertising pixel is currently authorized or described by this policy.
5. Service providers
Dealer Title Tracker uses Supabase for database and authentication services and the existing website-hosting platform for delivery of the site and application. A transactional email provider is used only when a verified sender configuration is enabled. We do not sell personal information or authorize third-party behavioral advertising through this site.
6. Retention
We retain service and account information for the active customer relationship and as reasonably needed for support, security, billing, contractual, recordkeeping, dispute, and legal obligations. Demo requests and first-party analytics are retained only as long as reasonably needed for sales follow-up and performance reporting. Specific retention periods should be confirmed in the customer agreement and internal retention schedule.
7. Access, correction, and deletion requests
Authorized customer administrators can manage certain user and dealership information. To request access, correction, or deletion of other personal information, email illinoistitleservices@gmail.com. We may verify identity and authority before acting, and some information may be retained where required for security, contractual, or legal purposes.
8. Security and incidents
We use the verified controls described on the Security page. No online service can promise absolute security. Suspected incidents should be reported promptly to illinoistitleservices@gmail.com.
9. Changes
We may update this policy as the service, providers, or legal requirements change. The effective date will be revised when an updated policy is adopted.
