Frequently asked questions

Clear answers before your demonstration.

These answers describe the product carefully. Your demonstration and service agreement will define the exact supported scope for your dealership.

Can one account support multiple stores?+

Yes. Records are assigned by store, and authorized users can work within a rooftop or review the relevant dealer group. Exact visibility depends on their store assignment and role.

How do user and store permissions work?+

Owners and authorized administrators can manage permitted users for their dealership scope. Staff and read-only roles receive narrower access, while platform administration remains restricted to Illinois Title Services.

Does this replace our DMS?+

No. Dealer Title Tracker is a focused title-workflow system. It can complement your DMS and other dealership systems. Any import, export, or integration requirement is reviewed during discovery rather than assumed.

Which states and transaction types are supported?+

Support depends on the specific workflow, state, unit type, and transaction type. Record tracking is broader than state-specific calculator or document coverage. A demonstration will identify the reviewed tools that apply to your operation.

Are fee calculators and document tools guaranteed accurate?+

No. State-specific tools are decision-support resources for enabled, reviewed transactions. Laws, forms, taxes, fees, and agency practices can change. Your team must review the result before filing.

How do Police Book and Deal Log workflows work?+

Where enabled, controlled workflows can write or reconcile verified record information and expose exceptions. They are not described as guaranteed synchronization, and public users cannot access QA, testing, or reconciliation administration.

What happens during onboarding?+

Onboarding can include store and user setup, workflow discovery, access configuration, appropriate initial records or imports, training, and agreement on supported tools and responsibilities.

Can existing data be imported?+

Potential imports are reviewed for format, quality, duplicates, ownership scope, and reconciliation needs. An import is not promised until the source and mapping have been evaluated.

How does billing work?+

Pricing and billing terms are documented in the approved order or service agreement. Authorized customer administrators can access applicable account and invoice information; payment-card data is not collected in Dealer Title Tracker.

What support is available?+

Support scope and response expectations are established during onboarding or in the applicable service agreement. Product and account questions can be sent to Illinois Title Services through the approved contact method.

How is customer data protected?+

The production system uses authenticated access, role and store permissions, tenant-aware database controls, encrypted web transport, and restricted platform administration. See the Security page for verified details and limits.

What happens if we cancel?+

Cancellation, billing, data access, and transition terms follow the applicable signed agreement. Access may be limited or ended after the effective termination date, subject to required retention and export arrangements.

How do I regain account access?+

Use the password-recovery option on the secure login page. Store assignments and role changes must be handled by an authorized customer administrator or Illinois Title Services.
